Billing
Billing holds numbering, payment terms...
Billing #
Settings > Billing holds numbering, payment terms, the late fee and reminders.
- Numbering: how invoice, quote and credit-note numbers are made. Choose a format you can keep for years: changing it later does not renumber what exists.
- Payment terms: how many days an invoice has before it is due.
- Late fee: what is added when an invoice is overdue.
- Reminders: how many days before and after the due date a client is reminded. These are sent by the scheduler, so the cron line must be running.
- Automatic charges: on Settings > Payment gateways you can switch on charging saved cards when an invoice falls due (see Payment gateways).
To confirm: the exact fields on the Billing screen, and the default terms and reminder days.
Orders #
Settings > Orders sets how order numbers are made. An order is what a customer places at checkout; paying its invoice starts the setup of what they bought.
Tax #
Settings > Tax holds tax rules by country and region, and whether the prices you type include tax. Add a rule per place you must charge tax in, with its rate and name as it should appear on the invoice. A client's billing country and region choose the rule.
Promo codes #
Settings > Promo codes are discount codes with their limits and the dates they run. A code can be a percentage or an amount, limited to products, to a number of uses, or to a date range.
Credit and refunds #
- A client can hold account credit, which pays invoices before a gateway is used.
- Credit notes reverse part or all of an invoice.
- A payment taken through a gateway can be refunded from its transaction, if the gateway supports it.
Price changes on live services #
When you change a plan's price, existing services are not changed on their own. Staff choose, per change, whether to apply the new price to existing services, with a notice period you set, so clients are told before a renewal costs more. Configurable options, add-ons and hand-typed prices are included.
